Yamagata City Hall in Yamagata Prefecture implemented a document design program for its staff to "communicate."

In this article, we will introduce the changes in materials seen by participants in the training session after they completed the training, and the impact on those around them of the materials becoming easier to read.

Morisawa: Please tell us the situations in which you used the remade flyers and the reactions.

The remade flyer was posted on the website. As a result, the number of inquiries from residents, which had been several per month, stopped. This is because the content of the service was clearly explained even with the materials alone.This has made it possible to communicate information, eliminating the need to inquire.I think that's why.
We also use pamphlets when explaining the system. Until now, even though the system itself is not difficult, there were times when we were unable to provide a sufficient explanation because the materials were difficult to read. With the improved flow and readability of the materials, I feel like the risk of forgetting to communicate something has decreased.

Morisawa: What specific impact did it have on staff and residents?

There were opportunities for multiple departments to explain the short stay system to citizens, but since it was not the department in charge, our department often had to go and explain it. So, when we remade the explanatory materials, each department was able to explain it while looking at the flyers without our department having to go out of their way to visit.Reduced burden on staffI did.

Furthermore, the content of the system can now be conveyed simply through explanations from staff in each department.It is now possible for citizens to receive explanations in one place.Looking at the reaction of the citizens,Increased understanding of explanationsI feel that way.

Morisawa: What impact do you think the training seminar will have on Yamagata City?

Communicating information to citizens in an easy-to-understand manner is at the core of local government operationsI think that's the key. Nowadays, many people get information from their mobile phones, and because they view information on small screens, readability is even more important. If the information viewed on that limited screen is easy to see and understand, I think that this will make it easier for citizens to get the information across, leading to an increase in event participants and expanded use of services.
Then, information is conveyed to citizens, and as event participation and service use increase, services reach citizens.I believe this will lead to a friendly local government that is close to its citizens.

Morisawa: Thank you for letting us know about the effects you experienced after participating in the training session. By participating in the "Easy to Understand" Materials Training, I learned that the materials became easier to read, which had a variety of effects on staff and citizens.
We hope that the training sessions on creating materials will improve local governments' ability to disseminate information and become a way to become more citizen-friendly.
